Freight Operations Executive - UAE

About the Role

Purpose
The Freight Coordinator plays a pivotal role in ensuring the seamless coordination of freight operations. This position involves managing the end-to-end process from customer interaction to document verification, shipment coordination, and customs clearance. The Freight Coordinator is responsible for maintaining efficient communication with customers, drivers, and external stakeholders to guarantee the timely and accurate movement of shipments.

What You’ll Do (Key Accountabilities)
Coordinating with Customer Prior to Pick up:
- Establish communication with customers to confirm pickup details and requirements.
- Gather necessary information/ documentation to facilitate a smooth pickup process.

Customer Documentation
- Confirm that all necessary documents are shared by the customer for processing.
- Communicate any missing documents or discrepancies to the customer for resolution
- Verify the completeness and accuracy of documents submitted by customers.
- Ensure all required documents are received before initiating the pickup process.

Arranging Collection and Coordinating with Client and Driver:
- Coordinate with clients and drivers to arrange collection schedules.
- Check the availability of trucks and ensure timely dispatch of shipments.

Document Processing (Bill of Entry, Manifest):
- Process necessary documentation, including Bill of Entry and manifest.
- Ensure compliance with regulatory requirements during the documentation process.

Shipment Details Collection and Reporting:
- Collect shipment details such as chargeable weight, dimensions, and packaging type.
- Document shipments through photos and share relevant details with clients.

Manifestation/Gate Pass Processing:
- Process manifest and gate passes.
- Hand over relevant documents to the Public Relations Officer (PRO) for further action.

Exit Claim Submission:
- Submit exit claims as proof of shipment exit from the UAE.
- Attach all relevant documents to the system within the specified timeframe.

Pre-Alert to Cross-Border:
- Prepare and send pre-alerts to cross-border destinations with scanned documents on email

LPO Creation:
- Create Local Purchase Orders (LPO) attaching Local Gate Pass, bill of entry, and other required documents.
- Liaise with chambers and customs for necessary approvals.

Tracking and Monitoring:
- Monitor the transit progress, ensure driver app is updated consistently, update driver locations, and track entry/exit at border points.
- Maintain an up-to-date tracking file.
- Ensure Portal is updated with relevant shipment progress and POD

Daily Customer Updates:
- Provide daily updates to customers regarding the status of their shipments.
- Coordinate with drivers for real-time information.

Customer Query Resolution:
- Respond to customer queries promptly.
- Coordinate with external parties to resolve any issues or concerns.

Document Submission to Dubai Customs:
- Collate necessary documents (BOE customs copy; shipping documents) for submission to Dubai Customs within the stipulated timeframe.

Requirements

About You   

 

Education and Certification

●        Bachelor's degree in Logistics, Supply Chain Management, or a related field.

 

Knowledge and Skills Needed to do the Job

●        Strong administrative, organizational and communication skills.

●        Knowledge of relevant regulations and documentation requirements.

●        Proficient in Microsoft office applications (MS Excel and Word), logistics management software.

●        Ability to multitask and work under pressure

 

Experience

●        1-2 years of relevant experience in a similar role

●        Proven experience in freight coordination and customs clearance.
